After an accident, plenty of clients have no car and no one to drive them, and a missed appointment is a gap in treatment. Ride requests let a client ask your firm for a ride from the Quilia app. Your case team gets one email with everything needed to book it, and you book the ride with whatever service you already use.
A request is one way. There is nothing to approve or close in Quilia: book the ride and let the client know the pickup time.
Turning ride requests on for a case type
Ride requests are off until you turn them on, and they turn on by case type, so a car accident client can ask for a ride while an estate planning client never sees the option.
- Go to Settings, then Case Types.
- Pick the case type in the list on the left.
- On the App Settings tab, find Transportation.
- Turn on Ride Requests.
- To let every client on this case type request rides, also turn on On for all clients.
Changes save as you flip each switch. Ride Requests sits under Transportation and only shows while Transportation is on for that case type.
With On for all clients off, ride requests are available on that case type but off for each client until you turn them on from the case.
Turning ride requests on or off for one client
- Open the case.
- Go to the Incident page and select the Rides tab.
- Use the On for this client switch in the Rides header.
The switch overrides the case type default for this client only. Turn it on for the one client who needs rides, or off for the one who should not request them.
What your case team receives
When a client sends a request, the client's case team is emailed right away. The email has:
- Appointment: the date and time the client needs to be there
- Pick up at: the address the client will be waiting at
- Going to: the provider or place, with its address
- Client phone: so you can confirm the pickup time
- Notes: anything the driver should know, like a walker or a return trip
View request opens the Rides tab on the client's case. Replies to the email go to Quilia, not to the client, so contact the client directly to confirm.
Clients ask at least 24 hours before the appointment. Each request is also on the case activity, and if your case management system is connected, it reaches the case as a note.
What the client sees
The client finds Rides under Transportation in the app. Their requests stay listed there with the details they sent, and each one tells them to call your firm if they have not heard back within one business day. See How to Request a Ride to an Appointment for the client's side.
