Your firm's CaseChat settings are on Settings โ Features. Only admins can change them. After changing a switch, select Save at the bottom of the page.
There are up to four CaseChat switches. Replies in CaseChat and Group Threads are always on the page. Log Export and Per-Message Export only show when your firm has a case management system (CMS) connected, as explained below.
Replies in CaseChat
CaseChat threads always show for your team and your clients, including group texts captured into CaseChat. Replies in CaseChat decides whether your team and the client can type in them.
This switch is the default that new cases start with. It does not change existing cases on its own. When you flip it, Quilia asks Turn replies on for existing cases too? (or off) and gives you three choices:
- Turn on for all [number] cases (or Turn off for all [number] cases): applies your choice to every existing case as well.
- Only apply to new cases: existing cases keep whatever they are set to now.
- Cancel: puts the switch back the way it was.
Turning replies off for existing cases stops those clients from typing in CaseChat. Their threads stay visible, but this cannot be undone in one step.
Changing replies for one client
You can turn replies on or off for an individual client from their case, whatever the firm default is. When replies are off for a client, their thread in the portal shows Turn on replies in CaseChat in place of the message box, along with the number to add to a group text with that client.
For more on using CaseChat day to day, see Using CaseChat for Real-Time Client Conversations. For group texts, see Capture Group Texts in CaseChat.
Group Threads
Group Threads allows an All Parties thread on cases with more than one client, for example a family in the same accident. The All Parties thread is one conversation that includes every client on the case and your team, in addition to each client's own thread with your firm.
On a case with only one client, there is no All Parties thread, so this switch has no effect there.
Log Export
Log Export saves your CaseChat conversations to your CMS once a day. It is on unless your firm turns it off.
- When it shows: only when your firm has a CMS connected.
- Which CMSs it works with: Filevine, MyCase, Clio, Neos, CasePeer and Smokeball.
- How often: once a day, covering the past 24 hours of messages.
- What gets written: one note on each case that had new CaseChat messages. In Filevine, it is added as a task assigned to the case's first primary staff member when there is one. The note is titled Quilia CaseChat Logs and lists the people in the conversation, the number of messages, and each message with its time and the sender's name.
Messages that were already sent to your CMS (for example by Per-Message Export) are not repeated in the daily note.
Per-Message Export
Per-Message Export sends each CaseChat message to your CMS as it is sent, instead of waiting for the daily log. It is off unless your firm turns it on.
- When it shows: only when your firm is connected to Filevine, SmartAdvocate or Clio.
- What gets written: each message as its own note on the case, titled CaseChat Message from [sender's name]. Photos and files attached to the message are uploaded to the case's documents.
When you turn it on and select Save, Quilia sets it up for your existing CaseChat threads as well as new ones. If messages from older threads are not reaching your CMS, an admin can select Backfill Subscriptions under the switch to set those threads up again.
