Importing Minors and Their Parents

Give each child in a case their own case in Quilia, with a parent on the case who has access and receives the invitations.

When a family is in the same accident, each passenger should have their own case in Quilia, including the kids. Import minors does that for you: every child gets their own case, and a parent is added to each child's case with access to it.

The setting is on by default. To check it, open Settings → Integrations, select Manage next to your CMS, and look under Client Access.

How Quilia knows a client is a minor

Quilia reads the client's date of birth from your case management system. Anyone under 18 is treated as a minor. If there is no date of birth on the record, the client is imported as an adult, so make sure your intake team fills it in.

When the child has their own phone number

If the child's record has a phone number that no one else in Quilia is using, the child is imported like any other client. They can sign in to the Quilia app and use it themselves.

When the child has no number, or a parent's number

Most firms put a parent's phone number on a child's record. When that happens, or when the child has no number at all:

  • The child still gets their own case, under the child's name.
  • The child does not get a login, and Quilia never texts or emails them.
  • The person who uses that phone number is added to the case as the child's Parent, with Collaborator access. They see the case from their own account, can chat with your team, and can complete requests for the child.
  • Invitations for the case go to the parent, not the child.

If a parent has three children in the same accident, they see all three cases plus their own from one login. There is nothing to merge.

If a child was imported first with the family's number and the parent is imported later, the parent takes over the number and the login, and is added as the Parent on each of the child's cases.

When the parent is the client in Filevine

Some firms list the parent as the client on a child's Filevine project and put the child's name in a project field. If your firm does this, map that field to Minor's name in your case type's field mapping (Settings → Case Types, then select the case type). When the field has a name in it, Quilia creates the case for the child and adds the Filevine client as the Parent.

Adding a parent by hand

You can add a parent, guardian, or anyone else to a case yourself at any time. See Adding and Managing Delegates on a Client's Case.

Cases imported before this setting

Cases that came in before this setting keep their current setup. If you have a family that should be split into separate cases, contact us at support@quilia.com and we will move them over for you.

Turning it off

If you turn Import minors off, children are imported like adults: each child is a client with whatever phone number is on their record, and no parent is added automatically.
