CMS Integration Settings Explained

What each setting in the Settings section of your CMS integration page does, and which case management systems show it.

When you connect a case management system (CMS) to Quilia, its integration page has a Settings section. These settings control what Quilia writes back to your CMS and what your clients can see.

To find them, go to Settings → Integrations, select Manage next to your CMS, and scroll to Settings. Only admins can change them, and each one saves as soon as you change it.

Each CMS works differently, so you only see the settings that apply to yours.

Send client activity to your CMS

Shown for: every CMS.

Keeps the case record in your CMS updated with activity from the Quilia client app.

Share documents with clients

Shown for: Filevine, Clio, CasePeer and Neos. The setting is named for your CMS, for example Share Filevine documents with clients.

Shows clients new documents your team adds to a specific place in your CMS:

  • Filevine: the folder named "Quilia", or the folder name your firm chose.
  • Clio and CasePeer: the folder named "Quilia".
  • Neos: the location named "Quilia Attachments".

Shared files are read-only for the client and still get Quilia's AI analysis. For full instructions, see Enabling Document Sharing.

Write client-added providers back

Shown for: Clio, Filevine, Salesforce, Litify and CasePacer.

When a client adds a provider in the app, Quilia adds it to their case in your CMS:

  • Clio: adds it to the matter's Medical Records tab. Needs the Clio Personal Injury add-on.
  • Filevine: creates the contact and adds it to the medical providers section on the project, using your Medical providers mapping.
  • Salesforce and Litify: creates the provider record and adds a row to the treatment list on the case or matter, using your Medical providers mapping.
  • CasePacer: creates the company, adds it to the lawsuit as a Medical Provider, and adds its medical provider record.

Sync appointments to the calendar

Shown for: Clio and Smokeball.

Puts client appointments on your CMS calendar. Rescheduling updates the event and canceling removes it.

  • Clio: the responsible attorney's calendar, with the firm calendar as a fallback.
  • Smokeball: the matter's calendar.

Import leads

Shown for: Smokeball.

Brings Smokeball Lead Intake submissions into Quilia as cases. When it is off, a lead is only imported after it becomes a matter.

Use a single Vine / Use a single note

Shown for: Filevine (Use a single Vine) and MyCase (Use a single note).

By default, Quilia adds a new Vine (Filevine) or note (MyCase) for client activity. Turn this on to keep all client activity in one Vine or one note per case instead.

Phase tracking

Shown for: integrations Quilia does not read through your CMS's API, such as custom, link-only and FileMaker integrations.

Choose Entire case to use one phase for the whole case, or Individual client to track each client on the case separately.
