Connecting a Calendly calendar allows clients to schedule phone calls, case reviews, or office visits from the Quilia app. Your firm manages availability in Calendly, and clients book with one tap instead of hunting for a link.

Connecting Calendly

Only a firm admin can connect Calendly and choose calendars.

  1. Go to Settings → Integrations and select Calendly.
  2. Select Connect and sign in to your firm's Calendly account when Calendly asks.

Choosing calendars

Once Calendly is connected, the Calendars section of the Calendly page lists your Calendly event types. Pick one for the firm and, if you like, one for each team member, then select Save.

  • Firm calendar: for clients whose case team has no calendar of their own. A round robin event works well here.
  • Team members: each person on your Quilia team is listed. Quilia looks for a Calendly user with the same email address, and when it finds one with exactly one calendar, that calendar is chosen for you. If someone's Calendly uses a different email, pick their calendar from Other calendars. Choose No calendar for anyone clients should not book directly.

Nothing changes until you select Save.

What clients can book

Clients book from the Quilia app with a Book a Meeting button, which opens the Calendly booking page for the calendar you chose. The available times follow the scheduling rules already set in Calendly.

  • The Book a Meeting button on your firm's page in the app uses the Firm calendar.
  • The Book a Meeting button on a team member's profile in the app uses that person's calendar. It only shows for team members who are on the client's case and have a calendar chosen.

Where bookings show up

When a client books an appointment, the event appears immediately on your Calendly calendar and any external calendar (like Outlook or Google Calendar) connected to that Calendly account.
