Your firm's business hours and office locations appear in the Quilia client app, telling clients when and where they can reach you. Keeping these details current ensures that review requests, payments, and referrals route to the right place.
You can manage all of these details under Settings, then Organization.
Operation Hours
Your operation hours tell clients when they can expect a response from your team. This does not prevent a client from sending a message outside of these hours, but it sets clear expectations for when you are at your desk.
Under Operation Hours, you can set:
- Available Weekdays: Your regular Monday through Friday business hours.
- Available Weekends: Your Saturday and Sunday hours, if your firm is open on weekends.
These hours appear directly in the client app on your firm's profile. They are shown in the primary location's timezone.
Primary Location
Your firm must have one primary location. This is your main headquarters or mailing address, and it acts as the default for any client or staff member not assigned to a specific office.
Under Locations, select your primary location to configure its details. The information you provide here powers several features across Quilia:

| Social links | Your firm's Facebook, Instagram, LinkedIn, and X profiles, linked directly from the client app. |
Additional Locations
If your firm operates out of more than one office, you can add them as additional locations. This ensures clients see the address and contact details of the office that is actually handling their case, and it allows you to route their reviews to the correct local Google Business profile.
Select Add Location under Locations to create a new office.
- Location Name: A clear name for the office, like "Downtown" or "Northside."
- No physical address: Check this box if the location is remote or virtual. Quilia will hide the map and address from clients assigned to this office.
- Filevine office: If your firm connects to Filevine, this option appears. It maps your Quilia location to a specific Filevine office, keeping the two systems in sync.
Assigning a location to staff
Once a location is created, you assign it to the people who work there. Go to Settings, then Team, and select the pencil icon on a team member's row to open Edit user. Choose their office under Location, then select Save. See Adding Team Members.
When a client's case is handled by that staff member, the client app will display the details of the staff member's assigned location instead of the primary location.
