CreoRx + Quilia: Prescription Cards for Your Clients

How your firm connects CreoRx to Quilia, sends prescription card requests, lets clients request a card, and tracks active cards and filled prescriptions.

Quilia connects to CreoRx so your firm can send a client to CreoRx from the case, your clients can ask for a card from the Quilia app, and every client sees their card in the app they already use for their case.

This guide explains how the connection is completed, the two ways a card request can start, how existing CreoRx cards link to cases, and where your firm can track them.

Before you start

Your firm signs up with CreoRx directly at www.creorx.com: click Law Firm Login, then Create your account. CreoRx then issues a key for your firm, and Quilia completes the connection. There is nothing for you to paste in.

Using CreoRx is always optional for your firm and your clients.

Connect your firm

Your firm signs up with CreoRx first. Once CreoRx issues your firm's connection key, Quilia completes the connection for you. There are no credentials for your team to enter, and CreoRx does not appear in the case-management integration catalog.

After the connection is complete, go to Settings → Features → Prescriptions. Admins can turn on Let clients request a card from the app. Clients without a card then see Request a prescription card on their Prescriptions screen.

Only admins can change this setting. Quilia records who enabled it and when. Each client request is sent to CreoRx in your firm's name, and your case manager approves it before CreoRx activates the card.

Sending a client from their case

Open the client's case and go to Treatment, then Prescriptions. When the case does not have a CreoRx card yet, you will see Send to CreoRx next to Add Prescription.

Clicking it opens a short form with everything CreoRx asks for, already filled in from the case:

Review the client's legal name, dates, contact information, address, and approving case manager before sending the request to CreoRx.
  • Legal first and last name, date of birth and date of injury. CreoRx matches a card to the client on these, so check them against the client's legal documents. A nickname or a typo here is the most common reason a card does not show up in the app later.
  • Gender and home address. CreoRx needs these before it can activate the card. If you leave them out, your case manager enters them in CreoRx when acknowledging the request.
  • State of the accident. Where the accident happened, which is not always the state the client lives in.
  • Case manager to approve. Pick a case manager who has a CreoRx login and the request goes straight to them. Leave it on Let CreoRx route it and CreoRx staff route it first.

Any correction you make to the name, dates, gender or address is saved to the client's file in Quilia as well as sent to CreoRx.

What happens next. Nothing reaches the client yet. CreoRx files the application, your case manager acknowledges it in CreoRx, and CreoRx activates the card, typically within 30 minutes, and sends it to the client. The card then appears in the Quilia app on its own.

When a client asks from the app

If you have client requests switched on, a client without a card can tap Request a prescription card on their Prescriptions screen. They confirm their legal name, date of birth and date of injury first, and any correction is saved to their file. The request then goes to CreoRx exactly as if you had sent it, and your case manager acknowledges it the same way.

Quilia's assistant also points clients to that screen when they bring up trouble paying for prescriptions.

Clients who already have a CreoRx card

Some clients enroll with CreoRx directly, before or outside Quilia. Once a day Quilia checks CreoRx's list of your firm's active cards and matches each one to a case by the client's name, mobile number and date of injury, then asks CreoRx to confirm the client's date of birth. A matched card appears in that client's app with nothing for you to do.

If a card does not match, it is almost always because the name or date of injury in Quilia differs from what CreoRx has. Correcting it in Quilia lets the next day's check find it.

Keeping track

On the case. A client's Prescriptions tab shows their CreoRx card with its status and when it last changed. An active card shows the numbers a pharmacist asks for.

The status tells you where it stands:

  • Needs acknowledgment: waiting on your case manager in CreoRx.
  • In review: CreoRx is reviewing it.
  • Invited: waiting on the client to finish CreoRx's sign-up.
  • Active: the client has a working card.
  • Not linked: CreoRx has a card that looks like this client's, but the date of birth does not match the one in Quilia.

Across the firm. Admins see a CreoRx link in the sidebar. It lists every client with a card or a request in progress, clients who need acknowledgment first, and every prescription filled on a CreoRx card.

Admins can review active and pending cards alongside prescriptions synced from CreoRx.

Filled prescriptions. When a client fills a prescription on their CreoRx card, it is added to their prescription list in Quilia with the date it was filled, marked with the CreoRx icon.

Common questions

The Send to CreoRx button is not showing. It only appears when CreoRx is connected for your firm and the case does not already have a CreoRx card or request.

A client says they have a card, but it is not in the app. Check that their legal name and date of injury in Quilia match what they gave CreoRx. The daily check will link the card once they do.

Can we stop clients from requesting cards in the app? Yes. Turn off Let clients request a card from the app under Settings → Features → Prescriptions. Your team can still use Send to CreoRx on an individual case, and cards that are already active stay active.
