The Organization Alert lets you display a firm-wide banner to all of your clients directly in the Quilia app. This is the best way to communicate global updates like office closures, holiday hours, or temporary changes in availability without sending individual messages.
When enabled, the alert banner is pinned to the top of the screen in the client app, ensuring they see it before they send a message or check their case.
Configuring the Organization Alert
To set up or change the alert, go to Settings → Organization in the portal.
- Toggle the Organization Alert switch to the "on" position.
- Enter your message in the Alert Message field. Keep this brief and direct, such as "Our office will be closed on Monday for the holiday."
- Choose a Start Date for when the alert should appear.
- (Optional) Choose an End Date. If you set an end date, the alert will automatically stop showing after that day. If you leave it blank, the alert will remain visible until you turn the switch off.
When to use an Organization Alert
An organization alert is broadcast to every active client. It is best used for:
- Holiday hours and closures: Let clients know when the office is closed and when you will return.
- Weather or emergency events: Notify clients if local conditions affect appointments or response times.
- System or process changes: Broadcast temporary changes to how clients should submit documents or reach the team.
For updates that only affect a single case or a specific group of clients, send a message or use Automated Phase Messages instead.
Managing the alert with your AI Assistant
If you have connected your AI assistant, you can ask it to manage the alert for you. For example, you can tell your assistant, "Set our organization alert to say the office is closed this Friday." See Connect your AI assistant to Quilia for more details.
