The Signup link is one reusable link your firm can send to anyone who wants to become a client. They fill in their name and cell number, and the request lands in Cases → Signup Requests for your team to review. Nothing is created until someone at your firm acts on it, so a stranger using the link never becomes a client or a case on their own.
Put the link in an onboarding email or an email signature and you can stop thinking about it.
Turning on the Signup link
- Go to Settings → Features.
- Turn on the Signup link switch. It is the last switch on the page.
- Your link appears under the switch. Select Copy to copy it.
The Signup link saves as soon as you flip the switch. You do not need to select Save at the bottom of the page.
Only admins can turn the link on or off or change it.
Changing or replacing the link
Once the link is on, two more options appear under it:
- Choose your own wording: replace the random part of the link with your own words, for example your firm's name. Select Save to keep it.
- Create a new link: makes a brand new link. The old link stops working right away, so use this if the link was shared somewhere it should not have been.
Turning the Signup link switch off also stops the link from working. Anyone who opens an old or turned-off link sees a "not found" page.
What the prospective client sees
The link opens a page titled Ask [your firm name] to set up your account. The person does not need a Quilia account to use it. The page asks for:
- First name
- Last name
- Cell number
- Email (optional)
- Anything they should know? (optional)
When they select Send to the firm, they see a confirmation that their details were sent to your firm and that they will get a text with a link to sign in once their account is ready.
Reviewing Signup Requests
When a request is waiting, a Waiting link with the number of requests appears at the top of your Cases page. Select it to open Signup Requests. Your firm's admins also get an email for each new request.
Each request shows the person's name, when they sent it, and their note if they left one. You can correct the First name, Last name, Phone and Email before you create anything, which helps when someone typed their name in all lowercase on their phone.
Before you create the client, choose a Case type for them.
Actions you can take
Each request has three buttons:
- Create and invite: creates the client and their case with the case type you chose, then sends them their invite by text right away. You are taken to the new case.
- Create: creates the client and their case without inviting them. Use this when you want to add more to the case first and send the invite later. You are taken to the new case.
- Dismiss: use this when the person is not your firm's client, or the request is a duplicate. Nothing is created, and the request is removed from the list.
If the client is created but the invite fails to send, Quilia tells you. The client and case still exist, so you can send the invite from the case.
If someone else on your team already handled a request, Quilia tells you instead of creating a second client for the same person.
Who gets notified
When a new request comes in, Quilia emails your firm's admins. The email has the person's name, phone number, email and note, with a Review and set them up button that opens Signup Requests. Other team members are not emailed, but they see the Waiting link on the Cases page.
Each request sends one email. If someone handles the request before the email goes out, no email is sent.
