Document sharing lets your legal team send a file to a client from the case-management system you already use. Add the file to your integration's Quilia folder, and Quilia delivers it to the matching client's Documents view.
The file is read-only for the client, runs through Quilia's normal document analysis, and is marked Shared by your legal team. Clients also receive a notification when a new shared document arrives.
Before you start
- Your case-management system is connected to Quilia.
- You have administrator access to the Quilia Portal.
- The case and client already exist in Quilia and are matched to the case-management record.
Turn on document sharing
- Open the Quilia Portal.
- Go to Settings > Integrations.
- Open the integration you want to configure.
- In General Settings, turn on the document-sharing option for that integration.
- Save the setting if Quilia asks you to confirm it.
Document sharing is off by default and is enabled separately for each firm integration.
Add a document for a client
- Open the matching case or matter in your case-management system.
- Add the file to that integration's Quilia folder.
- Leave the file in place while Quilia imports it.
The folder label is shown in the integration's General Settings. Use the folder Quilia identifies there rather than creating a new folder with a different name.
New files added after sharing is enabled are picked up automatically. Existing files are not changed just because the setting was enabled.
What the client sees
The file appears in the client's Documents view. It is labeled Shared by your legal team, and the client can view or download it without editing or deleting the original file in your case-management system.
Quilia also analyzes the document using the same document-processing flow used for other case files. The client receives a notification when the shared document becomes available.
If the file does not appear
Check these in order:
- Document sharing is enabled for the correct integration under Settings > Integrations > General Settings.
- The file is in the folder named by that integration's settings.
- The matter is connected to the correct Quilia case and client.
- The file has finished uploading in your case-management system.
If those are correct and the file still does not appear, contact Quilia support with the case name, integration, filename, and approximate upload time.
