Adding the Quilia Activity Log to Filevine

Oct 31, 2026•Initial Setup

Import the Quilia section into your Filevine project type so every update your client makes in Quilia shows up as a row on their project: what happened, when, their own words, and the documents they uploaded.

Have your assistant do it. Ask ChatGPT or Claude instead of clicking through the steps.

Connect your assistant to Quilia once, then ask in plain words. It reads every article here and works in your firm's account, so it can build a form, look up a case or set up an automation for you to switch on.

Connect your assistant to Quilia

The Quilia activity log puts everything your client does in Quilia on their Filevine project, in its own section. Each update is one row: the date and time, what happened, the details in your client's own words, and any documents they uploaded. Your team reads it right in Filevine, without opening the Activity feed or logging into Quilia.

Setting it up means importing one file into your Filevine project type. It takes about 5 minutes.

What you need

Step 1: Open the Customs Editor

  1. In Filevine, open the menu in the top-left corner and click Advanced
  2. Click Customs Editor
  3. At the top, pick the project type your Quilia clients' cases use (for example, Personal Injury)

Step 2: Import the Quilia section

  1. Click Import/Export in the top-right corner of the Customs Editor
  2. Choose Import Section into: '[your project type]'
  3. Click Choose Import File and pick the Quilia.fvst file you downloaded
  4. Click Save
Import/Export > Import Section into your project type.
Choose the Quilia.fvst file, then click Save.

Filevine adds a section called Quilia at the bottom of the project type's section list. It already has every field it needs, and every field is locked, so your staff can read the log but only Project Admins can change it.

Step 3: Set how the log sorts

Filevine doesn't carry a section's sort settings over in an import, so set these once:

  1. In the section list, click the Quilia section to open its properties
  2. Click Show Collection Options
  3. Set Default Sort Field to Date and Default Sort Order to Descending
  4. Set Left Main Field to What Happened and Right Main Field to Date
  5. Click Save
Collection Options for the Quilia section.

What happens next

Within a few minutes, new client updates start appearing as rows in the Quilia section of each project. Quilia also adds the past updates of your open cases, oldest first, so each log starts complete. On a busy firm, that can take a little while to finish.

From then on, updates for those project types go to the Quilia section instead of the Activity feed.

Each row shows:

ColumnWhat it holds
Date and TimeWhen your client did it
What HappenedThe update, for example "Added an appointment" or "Uploaded a medical record"
DetailsThe specifics, in your client's own words when they wrote something
TypeTreatment, Health, Documents, Work or Message, so you can filter
FilesThe documents your client uploaded, opening straight from Filevine Docs

Tips

  • See it as a table. On a project's Quilia section, click the table icon (≡) next to the card icon. Filevine remembers your choice.
  • Search and filter. Use Filter items to search the log, or Filter by to show one type, such as Treatment.
  • Documents aren't copied. Uploads still go to the project's Docs, in the Quilia folder. The row links to that same document.
  • Want the Activity feed back? Remove the Quilia section from the project type in the Customs Editor. Quilia goes back to posting updates in the Activity feed.
