Finding out where a personal injury case stands usually means a phone call or an email for each patient, then waiting. With Quilia you send a firm one link that lists every open case you have with them. The firm doesn't need an account. Someone there marks each case, and the answers land on your cases.

Status requests are for firms that aren't on Quilia. When a firm is on Quilia, its cases update on their own.

Before you start

The firm needs to be on your Firms page with at least one open case. Firms come in when you import your patient list or add a patient with a firm, and you can add one yourself with Add firm. An email address for the firm helps. If you don't have one yet, Quilia asks for it when you send.

Step 1: Request the update

Sign in at directory.quilia.com and click Firms. Open the menu (...) at the end of the firm's row and click Request status update.

You can also click the firm's name to open its page and click Request status update under Status update.

If the firm has no email on file, enter the address of whoever handles your files there and click Send request. Quilia saves it on the firm for next time.

Step 2: The firm answers

The firm gets an email from your practice with a Provide update button. The link lasts 30 days and needs no account or password.

It opens a page listing every open case you have with that firm, showing each patient's name, date of birth and what you billed. For each one, the firm picks a status:

  • Still treating / case open
  • In negotiation
  • Settled, payment coming
  • Paid
  • No longer our client
  • Not our client / don't recognize

They can add a note, like a check number, then enter their name and click Submit Updates.

The page shows the firm only its own clients. It never shows your other firms or patients.

Step 3: Read the answers

When the firm submits, you get an email saying how many cases they updated. On your Cases page, each case shows the firm's answer in the Firm update column, and the patient's page shows what the firm said, with their note.

The firm's answer doesn't change your own lien status. Update the status and record the payment yourself when the check arrives.

The Status update section on the firm's page lists every request you've sent, who it went to, and whether it's still open or who submitted it.

Common questions

Can I send another request before the firm answers? Yes. If a request is still open, Quilia asks before sending, and Resend link sends the same link again.

Which cases are on the request? Every open case you have with that firm. A case you've marked paid isn't included.

Can I see which firms are slowest? Yes. The Firms page shows what each firm owes you and the average age of its open liens, and each firm's page adds its overall reduction.
