What you need
- Quilia admin access
- Your Neos Company ID (ask your Neos admin)
Step 1: Get your Neos Company ID
Ask your Neos admin for the Company ID for your firm. Keep it handy.
Step 2: Connect Neos in Quilia
- In Quilia, go to Settings → Features.
- Under Integrations, pick Neos and click Configure.
- Paste your Company ID.
- Click Save. You should see Connected.
You do not need partner API keys. We manage the app credentials on our side.
When does information sync
Neos → Quilia
- New case: instant
- Phase change: within 15 minutes
- Most other field edits: not automatic. Update in Quilia if you want clients to see it.
Quilia → Neos
- Client activity: every 15 minutes to Case Notes
- Files: every 15 minutes to Documents
Why it is reliable: Neos sends us webhooks for new cases and we also run a 15 minute backup check. If a webhook ever misses, the backup catches it.

- All client files from Quilia, like PDFs, images, and Word docs
Not pushed as field edits
- Quilia does not overwrite your core Neos fields. We log activity and upload files.
What to expect
- You add a case in Neos. It appears in Quilia right away.
- You change the phase in Neos. Quilia updates within 15 minutes.
- Your client uses Quilia. Their actions show in Neos → Case Notes within 15 minutes.
- Your client uploads a file in Quilia. It lands in Neos → Documents within 15 minutes.
Quick checks if something breaks
- Smoke test: Create a new case in Neos. It should appear in Quilia right away.
- Phase not updating: Give it one 15 minute cycle. If it still does not show, reconnect Neos in Quilia and test again.
- Notes or files missing: Wait one 15 minute cycle, then recheck Notes and Documents in Neos.
- Missing client phone: We email the primary staff on the case with a quick fix link. Add the phone, then the import will retry automatically.
- Still stuck: Disconnect and reconnect Neos in Quilia → Settings → Features → Integrations, then test with a fresh case.

Short version for everyone
Add new cases in Neos like normal. The case shows up in Quilia right away. Everything the client does in Quilia is logged back to Neos every 15 minutes as notes, and uploaded files land in Documents. If you change fields in Neos later, Quilia will reflect phase changes within 15 minutes. Other field edits won’t backfill Quilia.
For intake
Create the case in Neos. Confirm client name, phone, and case type so the data maps cleanly. The client will receive the Quilia invite. No extra steps.
For case managers
Watch Neos → Case Notes for client activity from Quilia and Documents for uploads. Need the client to see a change? Update it in Quilia or send a CaseChat message.
