MyCase + Quilia: Integration Guide

Initial Setup

Connect MyCase to Quilia for seamless integration: new cases instantly appear in Quilia, and client activity syncs back to MyCase every 15 minutes. Ensure you have admin access for both platforms, and follow the steps to connect for efficient case management without additional configurations.

Connect MyCase once and you’re done. New cases show up in Quilia right away. Client activity from Quilia posts back to MyCase every 15 minutes. Files land in MyCase Documents.

What you need

  • Quilia admin access
  • MyCase admin access

Step 1: Connect MyCase in Quilia

  1. In Quilia, go to Settings → Features.
  2. Under Integrations, choose MyCase.
  3. Click Connect and sign in to MyCase.
  4. You’ll see Connected when it works.

That’s it. No extra switches in MyCase. Quilia handles the rest behind the scenes.

When does information sync?

MyCase → Quilia

  • New case: instant.
  • Stage change: instant.
  • Case deleted: instant.
  • Lead converted to case: instant.
  • Most other field edits (name, custom fields, contact details): not automatic. Update in Quilia if you want clients to see it.

Quilia → MyCase

  • Client activity: every 15 minutes to Case Notes.
  • Files: every 15 minutes to Documents.

What information syncs back to MyCase?

Goes to Case Notes

  • CaseChat messages
  • Completed forms and requests
  • Check-ins, reminders completed, status acknowledgments
  • “Client uploaded a document” entries and other in-app actions

Goes to Documents

  • All client files from Quilia (PDFs, images, Word docs, etc.)

Not pushed as field edits

  • Quilia does not overwrite MyCase core case fields. We log activity and upload files.

What to expect

  • You add a case in MyCase. It appears in Quilia right away.
  • You change the stage in MyCase. Quilia updates right away.
  • Your client uses Quilia. Their actions show in MyCase → Case → Notes within 15 minutes.
  • Your client uploads a file in Quilia. It lands in MyCase → Case → Documents within 15 minutes.

Quick checks if something breaks

  • Case didn’t appear in Quilia: In Quilia, open Settings → Features → Integrations and make sure MyCase shows Connected. Reconnect if needed.
  • Instant items not updating (new case, stage, delete): Reconnect MyCase in Quilia, then test with a fresh case.
  • Notes or files missing: Give it one 15-minute cycle, then recheck. Confirm your MyCase user can view Case Notes and Documents.
  • Still weird: Disconnect and reconnect MyCase in Quilia, then test again.

Short version for everyone

Add new cases in MyCase like normal. The case shows up in Quilia right away. Everything the client does in Quilia is logged back to MyCase every 15 minutes as notes, and uploaded files land in Documents. If you change things in MyCase later, Quilia will reflect those updates automatically.

For intake

Create the case in MyCase. Confirm client name, phone, and practice area so the data maps cleanly. The client will receive the Quilia invite. No extra steps.

For case managers

Watch MyCase → Case → Notes for client activity from Quilia and MyCase → Case → Documents → Quilia Folder for uploads. Need the client to see a change? Update it in Quilia or send a CaseChat message.

How long does setup take?

About 10 minutes if you have logins handy.

Do edits in MyCase auto-update Quilia?

Partly. New cases and stage changes sync to Quilia in real time. Most other field edits in MyCase do not overwrite Quilia.

Where do files land in MyCase?

Documents. Quilia uploads client files to MyCase → Documents every 15 minutes.

When do client actions appear in MyCase?

Within 15 minutes in Case Notes.

Do clients get messages from MyCase automatically?

No. Use CaseChat in Quilia or your phase messages in Quilia.

Can we import existing cases?

Yes. Use Import Existing Clients in Quilia.

What if the connection stops working?

Reconnect MyCase in Quilia → Settings → Features → Integrations, then test with a new case.
