Clio + Quilia: Integration Guide

Initial Setup

To integrate Clio with Quilia, click Connect in Quilia and sign in to Clio—no extra setup is required. New matters sync instantly, client activities are logged back to Clio every 15 minutes, and all files from Quilia will appear in Clio Documents.

Click Connect in Quilia, sign in to Clio, and you’re done. New matters show up in Quilia right away. Client activity from Quilia posts back to Clio every 15 minutes. Files land in Clio Documents.

What you need

  • Quilia admin access
  • Clio account with permission to connect apps

Step 1: Connect Clio in Quilia

  1. In Quilia, go to Settings → Features.
  2. Under Integrations, choose Clio.
  3. Click Connect and sign in to Clio.
  4. You’ll see Connected when it’s done.

That’s it. No extra setup in Clio. Quilia handles the behind-the-scenes webhooks.

When does information sync?

Clio → Quilia

  • New matter: instant
  • Stage change: instant
  • Matter deleted: instant
  • Most other field edits: not automatic. Update in Quilia if you want clients to see it.

Quilia → Clio

  • Client activity: every 15 minutes to Matter Notes
  • Files: every 15 minutes to Documents

What information syncs back to Clio?

Goes to Matter Notes

  • CaseChat messages
  • Completed forms and requests
  • Check-ins, completed reminders, status acknowledgments
  • “Client uploaded a document” entries and other in-app actions

Goes to Documents

  • All client files from Quilia, like PDFs, images, and Word docs

Not pushed as field edits

  • Quilia does not overwrite core Clio fields outside of supported events like stage changes. We log activity and upload files.

What to expect

  • You add a matter in Clio. It appears in Quilia right away.
  • You change the stage in Clio. Quilia updates right away.
  • Your client uses Quilia. Their actions show in Clio → Matter Notes within 15 minutes.
  • Your client uploads a file in Quilia. It lands in Clio → Documents within 15 minutes.

Quick checks if something breaks

  • Case didn’t appear in Quilia: In Quilia, open Settings → Features → Integrations and make sure Clio shows Connected. Reconnect if needed.
  • Instant items not updating (new matter, stage, delete): Reconnect Clio in Quilia, then create a fresh test matter and change its stage.
  • Notes or files missing: Wait one 15-minute cycle, then recheck. Confirm your Clio user can view Notes and Documents.
  • Still weird: Disconnect and reconnect Clio in Quilia, then test again.

Short version for everyone

Add new matters in Clio like normal. The matter shows up in Quilia right away. Everything the client does in Quilia is logged back to Clio every 15 minutes as notes, and uploaded files land in Documents. If you change fields in Clio later, Quilia will reflect stage changes automatically. Other field edits won’t backfill Quilia.

For intake

Create the matter in Clio. Confirm client name, phone, and practice area so the data maps cleanly. The client will receive the Quilia invite. No extra steps.

For case managers

Watch Clio → Matter Notes for client activity from Quilia and Documents for uploads. Need the client to see a change? Update it in Quilia or send a CaseChat message.

How long does setup take?

About 10 minutes if you have logins handy.

Do I need a Client ID or Client Secret?

No. Just click Connect in Quilia and sign in to Clio. We handle the app credentials.

Do edits in Clio auto-update Quilia?

Partly. New matters, stage changes, and deletions sync right away. Most other field edits do not overwrite Quilia.

Where do files land in Clio?

Documents. Quilia uploads client files to Clio → Documents every 15 minutes.

When do client actions appear in Clio?

Within 15 minutes in Matter Notes.

Can we import existing matters?

Yes. Use Import Existing Clients in Quilia.

What if the connection stops working?

Reconnect Clio in Quilia → Settings → Features → Integrations, then test with a new matter.
