Connect CasePeer to Quilia in about 10 minutes. New cases appear in Quilia, and everything clients do in Quilia posts back to CasePeer every 15 minutes.
What you need
- Quilia admin access
- CasePeer admin access
- A Zapier account
Step 1: Connect CasePeer in Quilia
- In Quilia, go to Settings → Features.
- Under Integrations, pick CasePeer from the dropdown.
- Click Request Access if you haven’t already.
- When approved, the button changes to Configure. Click it.
- If asked, log in to CasePeer. You’ll see “Connected” in Quilia when it works.

Step 2: Turn on Zapier inside CasePeer
- In CasePeer, open Account Settings.
- Scroll to Zapier. Click Activate.
- Check Enable.
- Copy the Zapier connection code they show you. You’ll paste this in Zapier.

Step 3: Build the Zap in Zapier
- In Zapier, click Create Zap.
- Trigger: choose CasePeer, event New Case.
- Click Connect and paste the code you copied from CasePeer. Test it.
- Action: choose Quilia, event New Case.
- Connect Quilia, then map fields:
- Client name
- Phone
- Email (if you have it)
- Case type
- Date of injury
- Turn the Zap On.
If your Zapier plan does not show the Quilia app yet, use Webhooks by Zapier as the action and post to your Quilia Zapier endpoint from our docs, mapping the same fields. It’s the same idea, just a different door.

When does information sync back to CasePeer?
- New cases to Quilia: instant via your Zap when a case is created in CasePeer.
- Client activity from Quilia to CasePeer: batched every 15 minutes.
- Files from Quilia to CasePeer: included in the same 15-minute batch.
- Edits made later in CasePeer: do not auto-update Quilia.
Keeping it real: this is a workaround because CasePeer doesn’t offer webhooks yet. When they do, we’ll switch to full auto.
What information syncs back to CasePeer?
Everything clients do in the Quilia app shows up in CasePeer.
Posted to Case Notes
- CaseChat messages
- Completed requests and forms
- Check-ins, status acknowledgments, reminders completed
- Document upload events and other in-app actions
Uploaded to Photos
- All files from clients (images, PDFs, Word docs).
Keeping it real: CasePeer’s Documents API is not accepting partner uploads right now, so files land in Photos. Notes still reference what was uploaded.
Quick checks if something breaks
- No cases showing up? Make sure the Zap is On and the trigger test pulls a recent case.
- Code error in Zapier? Recopy the CasePeer Zapier code and reconnect.
- Missing phone or email? Add it in CasePeer, then re-run the Zap test or update in Quilia.
- Got logged out? Reconnect CasePeer in Quilia under Settings → Features → Integrations.
What to expect
- You add a case in CasePeer. The Zap creates the case in Quilia right away.
- Your client uses Quilia. Their activity is logged to Case Notes in CasePeer every 15 minutes.
- Your client uploads files. Quilia sends those files to Photos in CasePeer in the same 15-minute batch.
- You change a case in CasePeer later. That change does not flow back into Quilia automatically. Update in Quilia if you need the client to see it.

Short version for everyone
Add new cases in CasePeer like normal. The will be invited to Quilia instantly. Anything the client does in Quilia is pushed back to CasePeer every 15 minutes as notes, and all uploaded files land in Photos. If you change things in CasePeer later, update Quilia too since those edits do not sync back.
For intake
Create the case in CasePeer. Confirm client name, phone, and case type so the data maps cleanly. The client will receive the Quilia invite. No extra steps.
For case managers
Watch CasePeer Notes for Quilia activity and Photos for uploads. If you need clients to see changes, make those updates in Quilia or send a CaseChat message.
Summary
You connect CasePeer in Quilia, flip on Zapier inside CasePeer, then build one Zap that says “New Case in CasePeer creates New Case in Quilia.” That’s it. Clean, simple, and it works today. When CasePeer adds webhooks, we’ll upgrade the flow and ditch the extra hops.
