Complete guide to adding clients to Quilia using Filevine.

To successfully add your first client from Filevine into Quilia, there are a few important things to keep in mind depending on whether your firm has automatic invites enabled.

✅ If Automatic Invites Are Not Enabled

If your firm does not have automatic invites turned on (see screenshot below for where to find the toggle:
[Insert Screenshot of Automatic Invites Toggle]), you’ll need to manually invite clients. Here’s how:

Add the "Invite to Quilia" Button
First, add the Invite to Quilia button to your Filevine intake form.

Manually Send the Invite
Once the button is added:

  • Open the client's Filevine project.
  • Click the Invite to Quilia button.
  • As long as the contact has a valid phone number, a text message will be sent to the client that says:
Hello [Client Name]! [Law Firm Name] invites you to use the Quilia app to track your recovery and stay updated on your case. Click here to get started: https://www.quilia.com/download/

Important Notes

  • This process applies to any case, whether it was created before or after you integrated with Quilia.
  • If the client has already been added to your Filevine system prior to enabling automatic invites, you’ll still need to invite them manually using the steps above.

⚙️ If Automatic Invites Are Enabled

If your firm has automatic invites turned on:

  • New clients added after enabling the toggle will be invited automatically.
  • Existing clients (already in Filevine before enabling the toggle) will not be automatically invited — you must still follow the manual steps listed above.
